FlashPhoto is operated by Tekloomy (OPC) Private Limited (“FlashPhoto”, “we”, “us”). We provide event photo-sharing software, including QR galleries, AI-assisted face grouping, live streaming, and print ordering.

Depending on how you use FlashPhoto, we may collect:

• Account details — name, email address, and login credentials for photographers and event organisers.
• Event data — event name, date, venue, gallery settings, and QR access links.
• Photos and videos — media uploaded to an event gallery by authorised photographers or admins.
• Face recognition metadata — mathematical face embeddings used to group photos by person. We do not sell biometric data.
• Usage data — device type, browser, IP address, pages viewed, downloads, and basic analytics to operate and improve the service.
• Payment information — processed by our payment partners. We do not store full card numbers on our servers.

We use collected information to:

• Provide, host, and secure event galleries
• Enable guests to browse, download, and order prints
• Authenticate uploads and manage access permissions
• Process subscriptions, invoices, and print orders
• Respond to support requests and service enquiries
• Monitor performance, prevent abuse, and maintain security
• Comply with applicable legal obligations

We do not sell your personal data or event photos to third parties for advertising purposes.

Event media is stored in private cloud storage (AWS S3) with public access blocked. Files are encrypted at rest (AES-256) and transferred over TLS. Access to galleries uses signed, expiring links and role-based authentication for uploads.

We retain event data for as long as your account or event subscription is active, or as needed to provide the service. You may request deletion of an event gallery subject to our data retention and backup policies.

We may share limited data with trusted service providers who help us run FlashPhoto, such as:

• Cloud hosting and storage providers
• Payment processors
• Email and notification services
• Analytics and error monitoring tools

These providers are permitted to process data only to deliver services to us and must protect it appropriately. We may also disclose information if required by law or to protect the rights and safety of users.

Event organisers and photographers control who can access a gallery. Guests typically reach galleries through QR codes or private links shared at the event. Organisers are responsible for ensuring guests are informed that photos may be uploaded and shared through the event gallery.

Depending on your location, you may have the right to access, correct, delete, or restrict processing of your personal data, and to object to certain processing or request portability.
